CueRing coordinates an event that takes place at many locations at the same time: a conference broadcast to several cities, a product launch in many stores, an exam held at several sites. Every location follows the same run of show, and the operations team follows every location live, from a single screen.
Four ideas
- Event
- The occasion itself, with a name and a date. Once the date has passed, the event is archived: it stays searchable but can no longer be changed.
- Location
- A place where the event happens, such as a city, venue or room. Each location has one local coordinator, identified by their email address.
- Step
- One item of the run of show: Registration, Opening keynote, Coffee break… Steps are the same for every location, happen in a fixed order, and each coordinator marks them as completed as they happen.
- Checklist
- A list of checks each location answers with OK or Not OK. The pre-event checklist is for before the doors open (Projector tested); the post-event checklist is for afterwards (Room returned).
Three roles
| Who | Uses | To |
|---|---|---|
| Operations staff | The Events menu and the dashboard, on a computer | Prepare events, invite coordinators, follow the live dashboard, share it, export it |
| Local coordinators | My events, on their phone | Report each step as it is completed, answer the checklists |
| Anyone with the public link | The public dashboard, in any browser | Follow the event read-only, for example on a big screen |
A typical event
- Before: staff create the event, add the locations with each coordinator’s email, and define steps and checklists. Coordinators receive an invitation and create their account.
- On the day: coordinators answer the pre-event checklist, then report each step as it happens. Staff watch the dashboard fill up and spot the locations that fall behind.
- After: once all its steps are done, each location answers the post-event checklist. Staff export the dashboard to Excel for the report. The next day the event is archived.
Where to start
- Staff: start with Preparing an event, then Following the event.
- Coordinators: go straight to Reporting from a location.
- Sharing the dashboard with a partner or on a screen: The public screen.
